Functional Accountabilities:
  • Work with Project Manager and Contract Administrator to setup electronic project folders containing all required documentation to execute a service project;
  • Maintain hard copy and/or electronic files by project or purchase order number to organize signed labor approvals & actual travel receipts for cost reimbursement and auditing purposes (FMC Projects Only);
  • Coordinate the receipt of all signed paperwork from the Launch Team, internal & external;
  • Populate Billing Matrices with approved labor and travel expenses for reimbursement by the Customer;
  • Ensure that all Billing Matrix labor inputs are set to appropriate sell rates based on total number of hours worked, verify subcontractor invoices for labor & expenses (if required/applicable), verify receipts of all other applicable travel expenses incurred on the project;
  • Validate Site/Launch Leaders weekly MDM and save to proper location on service drive;
  • Assist Launch Leaders and Job Site Assistants in: SAP time entry, proper use of MDM, weekly & daily reports (internal & external), as needed;
  • Prepare Customer invoicing documentation (FMC Only) and communicate to Launch Leader for proper signatures;
  • Maintain Billing Matrix summary sheet(s) by adding any new negotiated engineering changes, customer purchase orders, and invoicing information;
  • Compare SAP with Billing Matrix to ensure proper purchase order coverage prior to communication to the customer;
  • Communicate new purchase orders to the Launch Team and ensure that proper updates are made to the MDM to reflect monies/hours available;
  • Create Billing Matrix for new projects;
  • Assist with job allocations for car rental invoices;
  • Review and verify information on the flight reconciliation file maintained by the Service Team;
  • Time sheet corrections in SAP (Service Department Employees Only), as needed;
  • Assist Project Management and Site Leaders with MDM & time entry questions and/or problems;
  • Maintain master MDM template file with updates, as needed; and
  • Perform other duties as assigned or directed by Management.

Requirements:
  • Organized and self-motivated individual;
  • Methods and techniques of data collection, research, and report generation;
  • Maintain accurate and complete records on programs;
  • Knowledge of Microsoft Office software (Excel, Word, and Outlook);
  • Communicate clearly and concisely, both orally and in writing;
  • High degree of resourcefulness, flexibility and adaptability; and
  • Office Hours: 8: 00 a.m. – 5 p.m., including (1) hour lunch break and (2) breaks as designated; (40) hour work week.
