  1. Open/close front office reception area, daily.
  2. Answer multiple-line telephone and monitor all messages left in general voicemail box.
  3. Take messages for Regional Managers and Regional Vice Presidents, when they are unavailable, and promptly email all messages to them.
  4. Take messages for the President, CEO, CFO, COO and Director of Acquisitions when their assistants are out of the office.
  5. Greet visitors, page employees and make announcements.
  6. Sort and email all incoming faxes several times daily.
  7. Stamp and distribute all incoming Accounts Payable invoices.
  8. Date stamp and sort all incoming mail and ensure proper distribution.
  9. Sign for and sort daily deliveries.
  10. Maintain supply of all Federal Express shipping materials for Corporate North office.
  11. Track Federal Express shipments, provide delivery confirmation to sender and obtain credits when necessary.
  12. Process monthly FedEx invoice and prepare corresponding billback.
  13. Review and process postage machine invoice for Corporate North office.
  14. Review and process copier invoices for both Corporate North and Corporate South offices.
  15. Maintain supplies and call for service of copiers and postage machines for both Corporate North and Corporate South offices.
  16. Perform minor service on copier and postage machine for Corporate North office, as needed, to avoid service calls and machine downtime.
  17. Record phone greetings for corporate office voicemail.  Update and modify as necessary.
  18. Assist with HR file scanning and electronic filing. 
  19. Coordinate paper recycling pick-ups. 
  20. Coordinate annual shredding project.
  21. Fund postage machine at Corporate North office.
  22. Perform other duties as assigned.
                                                            Qualifications
  • A minimum of 3 – 5 years of related experience.
  • High School Diploma or GED. 
  • Excellent customer service and communication skills.
  • Ability to operate a multiple-line telephone.
  • Ability to multitask and be a team player in a fast-paced environment.
  • Proficiency with Microsoft Office, specifically Excel, Word and Outlook.
  • Ability to work efficiently with little supervision.
