SUMMARY:

Provide leadership and support to the Pump and Seal Service Centers in the role of parts and material acquisition, logistics, quoting/invoicing, data entry and scheduling. Increase department volume by raising efficiency and improving information flow. Oversee all non-conforming material per guidelines established for handling this material. This position is responsible for the flow of paperwork, computer entry and general information through the Pump Service Center.

ESSENTIAL DUTIES AND RESPONSIBILITIES (including, but not limited to):
  • Purchase parts and materials required for equipment repair, inventory and non-production materials and equipment.
  • Organize and control related logistics for all purchase parts and material receipts.
  • Compose quotations for equipment that has been analyzed in our shop in a manner that is consistent with industry standards and complies with the needs / requests of our customers and ProSeal Service Group. Include any and all options and “ upselling” as necessary.
  • Establish new part numbers per our established procedures and purchase repair parts. Coordinate material flow (shipping methods and timing) from vendors.
  • Participate in creating quotations.
  • Prepare invoices for Service Manager to review. Create shipping paperwork.
  • Communicate effectively with our vendors, co-workers and customers.
  • Actively participate in weekly manufacturing meetings.
  • Expedite parts and material delivery when necessary; communicate lead times to Service Center Supervisor.
  • Perform data entry of Pump Service Center tracking information. Use existing and create new spreadsheets and graphs to display this information.
  • Have (or gain) a thorough knowledge of our enterprise software system as it relates to data entry, purchasing and all aspects of customer service.
  • Execute returns to vendors for incorrect, damaged or unwanted materials.
  • Oversee the maintenance and disposition of non-conforming material.
  • Execute outsourcing of calibration for measuring instruments to insure Quality Assurance program compliance.
  • Maintain material, supplies and internal machinery files in shop office and computer network filing system.
  • Assist in monitoring of standard procedures to improve efficiency.
  • Shall perform all assigned tasks in a timely manner and shall work in a manner consistent with safety of self and others at all times.
  • Make regular inspections of the building and equipment assigned to him/her during the week.
  • Shall achieve self-improvement by attending training sessions, in-service and workshops.
  • Maintain a clean and safe work environment.
  • Must work in accordance with the principals and procedures outlined in the QPI manual.

QUALIFICATIONS & REQUIREMENTS
  • Associates or Bachelor’ s degree or equivalent experience.
  • Experience and aptitude in MS Office programs required.
  • Knowledge of computerized business systems desirable. Must be willing to attain this knowledge through continuing education
  • Must be able to follow written/verbal directions from Pump Repair Facility Supervisor or the respective designee where applicable.
  • Ability to stay organized, work productively and efficiently is required.
  • Must have pleasant and courteous manner and be able to relate well to customers, vendors, employees and all groups using the building.
  • Must display knowledge and initiative in maintaining safe and clean conditions in and around the office and shop area.
  • Must be able to maintain composure in emergency situations.
  • Must be willing to obtain a chauffeur’ s driver’ s license; DOT safety card.
